Appointment Policy

Cancellation/No Show/Late Policy

We schedule our appointments so that each patient receives the right amount of time to be seen by Dr. Winn and our staff. That is why it is especially important that you keep your scheduled appointment with us and arrive on time.

If your schedule changes and you cannot keep your appointment, please contact us so that we may reschedule you and accommodate those patients who are waiting for an appointment. As a courtesy to our office as well as to those patients who are waiting to schedule with us, please give us at least 24 – hours* notice.

*For Tuesday appointments, please email the office by Monday morning or give us a call by 4:00 pm on the Friday before your exam.

If you do not attend your appointment or cancel with at least 24-hours notice, you will be charged a fee of $60 for the missed appointment which will be billed to you directly via our online payment system. This “No-Show” fee is NOT reimbursable by your insurance company.

Scheduled Appointments

We understand that delays can happen. We prioritize patients who are on time to prevent delays for both the doctor and subsequent patients. If a patient is 10 minutes past their scheduled appointment time, the patient may wait as a walk-in to see if another spot becomes available later in the day or they may choose to reschedule their appointment to a different day.

If we cannot fit the patient in on that day and the patient reschedules their appointment, the cancellation fee of $60 will still apply.

If we cannot fit the patient in on that day and the patient decides not to reschedule their appointment, a cancellation fee of $60 will still apply.

Insurance and Direct Billing

While we do our best to direct bill your insurance when possible. There are times that either your insurance will not allow direct billing, or your information will be pulled by the insurer for further review. If this occurs, you are responsible for the full cost of your scheduled exam at the time of service and we will provide all necessary documentation and invoices to submit these fees to your insurance on your own.

Since there is no guarantee for direct billing, payment for any scheduled appointment is mandatory. A cancellation fee of $60 will still apply if an appointment is cancelled.

Account Balances

We require that outstanding balances are paid fully prior to any further services being rendered. Patients who have questions about their bills or who would like to discuss payment options may call to speak to an office representative to review their account.

Emergency visits are prioritized. We will do our best to let you know if your appointment is delayed in these cases.
